RDF18 Annual Conference

Delegant provides comprehensive association management services for a prominent UK membership organisation, including full-service management of its annual conference. Over the years, Delegant has successfully doubled attendance at the event, reflecting its growing reputation and value. Building on the success of previous conferences, we collaborated with the association to expand the event to a new 2.5-day format. This extended schedule debuted this year and was hosted at the prestigious Celtic Manor Resort in Wales, offering an enhanced experience for attendees.

Oops I did it again…

What do you do to make 470 people speechless? What do you do to get 470 people quiet enough to be surprised? What do you do to get 470 people on their feet?

Only five people in the room knew what was about to happen—the secret had been perfectly kept. A sudden crash drew shocked faces, and then it began: the first waitress started singing, followed by a second. The surprise was complete. Our undercover singers, who had been serving drinks and food moments earlier, revealed their true roles in spectacular fashion. No one saw it coming. With 470 guests on their feet, waving napkins to “That’s Amore” and forming a lively Conga line to “500 Miles” by The Proclaimers, the energy in the room was unforgettable. It was a moment of joy and spontaneity that left a lasting impression on everyone present.

Highlights

Over the last few years we have been instrumental in suggesting, evaluating and introducing new ideas to the event to support its growth and these include:

Sponsorship: Introducing new sponsorship opportunities which included the introduction of the Networking Sponsor which Delegant suggested, priced and implemented. The sponsor has returned for a second year due to the positive effect that this had on their organisation.

Duration: Delegant suggested including a pre-conference event on the Sunday night before the conference. This was a huge success and has become part of the main conference. The popularity of this allowed us to suggest making the conference a full two days which is what it has become.

Awards: Delegant suggested introducing an Awards element to the Gala Dinner. This has become embedded in the event to recognise best poster and best abstract.

Entertainment: Delegant brought the idea of singing waiters at the Gala Dinner to the Organising Group. We knew it would work, and it did. The feedback was incredible.

Events like this take a lot of designing, planning and delivering. Getting the “professional and confident” conference with the ability to ”professionally let-your-hair-down” takes experience. That’s Delegant.
